The case

Agency work is easy to under-record when people postpone time and expense entry until the end of the day or week. Voice can make capture faster, but an utterance such as “two hours on the launch page and a stock image” does not establish the client, date, billable duration, approved expense, rate, tax treatment or retainer period.

Voxbill preserves the original note and proposes a transcript, client, project, service date, duration, expense and memo with confidence. A user confirms or corrects each entry and attaches supporting evidence where policy requires it. Rates, expense rules and retainer periods come from versioned client agreements maintained by authorized finance or account owners.

Retainer consumption, reset dates and cap alerts are calculations with visible inputs. They do not change a contract, create new billable time or approve an overage. A confirmed work entry remains separate from an approved invoice line, issued invoice, accounting export, client acknowledgment and collected payment.

The product helps agencies capture work near the moment it happens. It does not infer hours, fabricate receipts, decide tax, submit invoices or post accounting entries without named approval.
